This is your sponsorship application (the “Application”) to be a sponsor (the “Sponsor”, or “The Exhibitor”) at Riverside LGBTQ+ Pride Inc's 2024 Annual Gaya Fundraiser (the “Event”) at the Moreno Valley Civic Center (the “Venue”). This Application does not guarantee space in the Event but expresses your interest in participating in the event. Riverside LGBTQ+ Pride Inc. (the “Organizer”) must comply with exclusivity, as well as state, county and local regulations and more. We reserve the right to deny any Application for any reason. If any payment has been paid before your Application is denied, the Organizer will refund 100% of the payment.

The Sponsor understands and agrees to the following terms of participation:

OPERATION: If Sponsor will have a booth at the Event (“Exhibitor”), Exhibitor must remain open for the entirety of the event hours, and should load in or close and load out according to the designated times set by the Organizer. Failure to do so will result in a $100 penalty to be charged after the event.

SPONSOR CHOICES: Sponsorship packages offered are listed below.
All packages are limited to the benefits outlined, and benefits are available on a first-come first-served basis. Some benefits may be claimed exclusively.
All benefits are subject to deadlines and timeline limitations. Sponsorships benefits are delivered based on the sign-up date of the sponsor and no credits or consideration will be given for placements missed due to time of sign-up. Sponsor package names are for theme color only and do not imply any brand association or endorsement.

Runway Sponsor:
– Presenting sponsorship – All promotional material and branding starting from the date of finalization of the agreement and payment on will include “Presented by ” or it's logo prominently.
– Branding rights – The sponsor will be provided with an approved official logo of Riverside LGBTQ+ Pride and the right to use it in association with it's own brand, in any public promotion of it's sponsorship.
– Live stream branding – The sponsor will be prominently displayed on the live stream graphics and title, and where applicable, listed as a collaboration on social media.
– On stage time – The sponsor will be invited to spend 5 minutes of on-stage for a collaborative presentation with Riverside LGBTQ+ Pride. The presentation content and script must be presented presented no later than 7 days before the event, and is subject to approval by Riverside LGBTQ+ Pride.
– The sponsor will enjoy 10 reserved seats with a premium view of the event with VIP gift bags.
– The sponsor will enjoy full branding visibility of all items mentioned in lower tiers.
– The sponsor will enjoy a pre-show VIP meet and greet with entertainers and Riverside LGBTQ+ Pride board members.

Prada Sponsor:
– The sponsor will enjoy 8 reserved seats with a premium view of the event with VIP gift bags.
– Brand (logo & name displayed) visibility via social media posts and paid advertising, logo shown on stage, the event website, event signage, Riverside Pride's monthly newsletter.
– The sponsor will be offered a half-page ad in the event program

Versace Sponsor:
– The sponsor will enjoy 8 reserved seats with upgraded gift bags.
– Brand (logo & name displayed) visibility via social media posts and paid advertising, logo shown on stage, the event website, Riverside Pride's monthly newsletter, and logo listed in the event program.

Dior Sponsor:
– The sponsor will enjoy 8 reserved seats and 8 regular gift bags.
– Brand (logo & name displayed) visibility via social media posts, sponsor mention on stage, the event website.

Entertainment Sponsor:
– Brand/company mentioned in the event program.
– Mentioned on-stage.

In-Kind Sponsorships
Gift Bag Sponsor:
– Retail item inserted into all attendee gift bags.
– Brand listed on event website.
– Additional customization based on value.
Event Logistics:
– Brand listed on event website
– Thank you mention in program
– Additional customization based on value.

DISCRIMINATION: The Sponsor may not and shall not discriminate on the basis of race, color, religion (creed), gender, gender expression, age, national origin (ancestry), disability, marital status, sexual orientation, or military status, in any of its activities or operations. These activities include, but are not limited to, hiring and firing of staff, selection of volunteers and vendors, and provision of services. We are committed to providing an inclusive and welcoming environment for everyone involved, and require all of our affiliates to do the same. Failure to comply with is policy will result in immediate termination of this agreement without refund and be banned from future Organizer events.

EQUIPMENT: No equipment is provided in any Sponsorship Package. If a package includes tabling space, then only the space for one (1) 8 ft table and 2 chairs is provided. Only 2 staff may be admitted to the event without a ticket.

PERMITS AND LICENSING: It is the responsibility of the Exhibitor to obtain any and all permits for doing business. The Organizer is not liable and will not provide refunds for any Exhibitor who is forced to close due to lack of permits and documentation.

MUSIC AND AUDIO: No music, video, or other sound may be amplified at the event. The Organizer, in its sole discretion, reserves the right to monitor or prohibit the use of any equipment or machinery that is detracting from other exhibitors or exhibits.

SMOKING of any substance or use of tobacco products is strictly prohibited, including vape pens, electronic cigarettes, or any other vaping device. This includes marijuana.

DISPOSAL OF WASTE AND CLEANUP: The Exhibitor must clean up all items brought into the Venue, and “leave no trace” after the Event.

NO MATURE CONTENT: No materials on display, distributed, or for sale may be mature-rated. The Organizer reserves rights to remove any materials deemed inappropriate on the expo floor.

INDEMNIFICATION: The Organizer, the Venue, the event’s Sponsors, any of their officers, agents, volunteers, employees, independent contractors or other representatives shall not be held liable for, and they are expressly released from, liability for any damage, loss, harm or injury to the person or property of Sponsor or any of its officers, agents, volunteers, employees, independent contractors or other representatives, resulting from theft, fire, water, accident or any other cause. Exhibitor shall indemnify, defend and hold harmless the Organizer, the Venue, the event’s Sponsors, and any of their officers, agents, volunteers, employees, independent contractors or other representatives:
a. From and against any and all claims arising from any acts, failures to act, or negligence of exhibitor or any of its officers, agents, volunteers, employees, independent contractors or other representatives;
b. From and against any and all claims arising from the breach of, or default in the performance of any obligation on exhibitor’s part to be performed under, these terms and conditions; and
c. From and against all costs, attorney’s fees, expenses, and liabilities incurred in the defense of any such claim or any action.

PAYMENT: Payment is due at the time of the Application.

EVENT CANCELATION & REFUNDS: If the event is canceled due to weather or other factors beyond the Organizer control, including but not limited to, natural disasters, public health concerns, or credible threats to the safety of attendees, the Sponsor acknowledges that sponsorships are non-refundable. Organizer will exercise reasonable effort to postpone and reschedule the event instead of canceling. In the case that the Event is not rescheduled, Sponsor may request payment be applied to future Organizer event sponsorship, minus value of commitments already delivered prior to the Event date. In the case the Event is underway but interrupted or adjourned prior to closing time due to any reasons, no refund will be given.

LICENSE TO USE TRADEMARKS: If the sponsorship benefits include rights to our branding, that sponsor is authorized to use the Organizer's names “Riverside Pride” or “Riverside LGBTQ+ Pride”, and official logos to promote their involvement in the Event from the time this contract is signed to thirty (30) days after the event. We encourage Sponsor to use the hashtag #RiversidePride when posting on social media. The Sponsor must request official logo artwork from Riverside LGBTQ+ Pride prior to using it. Do not extract logos or artwork from websites, publications, social posts, or other sources. Logos must appear in the correct colors, dimensions and aspect ratios as provided.

Sponsor hereby grants Organizer permission to use their organization name, logo and contact information in relation to their participation in this event. This includes but is not limited to social media, video, printed materials. If Sponsor requires an approval process for logo use, it is the responsibility of the Sponsor to inform the Organizer of such process. If an approval process is required, Sponsor agrees to a reasonable turnaround time so as not to impede Organizer's ability to promote and execute the Event.

RIGHT OF PUBLICITY: During the Event, Sponsor and its representatives give Organizer or its designees permission to use their voice, image, or likeness as it appears in any photographic, audio, or video recording in any manner and in all media in perpetuity.

Any Sponsor that fails to comply with any of the terms and conditions herein may be subject to: (1) early termination of this license to occupy and expulsion from the Event without refund; and/or (2) exclusion from participation in future events with Organizer.

By submitting this Application, checking the box and signing below, the Sponsor hereby confirms that the information provided in the Application is, to the best of their knowledge, true and correct and further certifies that Sponsor has read all of the terms and conditions in above and agree to comply with them.
